Internship Agreement

This agreement is made on 7 November 2026 between:

  1. Northwind Design Studio Ltd, of 8 Mill Lane, Leeds LS1 4DP, United Kingdom ("the Host"); and
  2. Amira Hassan, of 14 Park Road, Leeds LS6 2AB, United Kingdom ("the Intern").

The school or university named in section 11, if any, also signs this agreement for the purposes of that section.

The Host offers the Intern a placement so that the Intern can learn and gain practical experience. They agree as follows.

1. The placement and its purpose

1.1 The Host will give the Intern a placement as Marketing intern, from 7 September 2026 to 27 November 2026 (the "Placement"), unless it ends sooner under section 12.

1.2 The Placement is for learning. The parties agree that the Intern is not an employee of the Host, unless the law says that the Intern is one, in which case the rights that the law gives apply, and the rest of this agreement stays in force as far as the law allows.

1.3 The Host will give the Intern real work with a clear link to what the Intern is studying or wants to learn, and will not use the Intern to replace a member of staff.

2. Learning goals and tasks

2.1 The Placement aims to help the Intern to learn the following.

How a marketing campaign is planned and measured
How to write for a website and for social media
How to use analytics tools to report results

2.2 The Intern's main tasks will be the following. The Host may change them by agreement with the Intern, as long as the Intern keeps learning in line with the goals above.

Helping to write blog posts and social media posts
Preparing monthly campaign reports
Supporting events and customer research

2.3 The Host will not ask the Intern to do work that is unsafe, that is not suitable for the Intern's age or level of skill, or that has no link to the goals.

3. Supervisor, training and assessment

3.1 The Intern's supervisor is Priya Nair, Head of Marketing (the "Supervisor"), who will guide the Intern, give regular feedback and be the Intern's first contact for any question or worry. If the Supervisor is away for a long time, the Host will name another one.

3.2 An induction in the first week, weekly one-to-one meetings with the Supervisor and access to the Host's online learning library

3.3 The Supervisor and the Intern will review progress against the learning goals after four weeks, after eight weeks and in the last week. The Host will give the Intern a short written review at the end of the Placement.

4. Hours, place of work and expenses

4.1 The Intern will work 30 hours a week, Monday to Thursday, 9:30 to 17:00 with a one hour break. The hours include time for training and for meetings, and the Intern will not be asked to work more than the law allows, to work at night, or to work overtime unless the Intern agrees and the law permits it.

4.2 The Intern will work at the Host's office in Leeds, with up to one day a week from home by agreement.

4.3 The Intern is entitled to the breaks and rest that the law requires, and may take time off for study, exams and appointments for the Intern's school or university if the Intern asks in good time. The Intern will tell the Supervisor as early as possible if the Intern is ill or cannot come, and the Host will not penalise the Intern for it.

4.4 The Host will cover these expenses. travel on Host business, and a public transport pass for the days at the office. The Intern will keep receipts and send them in within 30 days, and the Host will repay them within 14 days of receiving them.

5. Pay or allowance

5.1 Paid or unpaid

5.2 The amount is GBP 1,400 a month.

5.3 It is paid on the last working day of each month.

5.4 The Host will pay any amount that the law says the Intern is owed for the Placement, even if this agreement says something different.

6. Confidentiality and intellectual property

6.1 The Intern will keep confidential the information about the Host, its clients and its business that the Intern learns during the Placement and that is not public. The Intern will use it only for the Placement and will not copy or take it away. This duty continues for 3 years after the Placement ends, and for as long as the information is a trade secret.

6.2 The Intern may talk about what the Intern has learned and the skills gained, and may show in a portfolio or a job application work that the Host agrees is not confidential, if the Host has given its written consent.

6.3 The rights in the work that the Intern creates for the Host during the Placement belong to the Host. The Intern assigns those rights to the Host as far as the law allows and will sign any paper that is reasonably needed. The Intern keeps the rights in work that it created before the Placement, or that it created apart from it, without using the Host's time, equipment or information. The Host will name the Intern as an author where that is usual and fair.

6.4 The Intern will return the Host's property, files and passwords on the last day.

7. Conduct

The Intern will follow the Host's reasonable rules and instructions that are given to the Intern, will treat people with respect and will use the Host's equipment and systems only for the Placement and as the Host's rules allow. The Host will treat the Intern with respect, and will not allow harassment, bullying or discrimination, and the Intern may report a problem to the Supervisor or to another person at the Host without any risk of a penalty for doing so.

8. Health and safety

8.1 The Host will keep the workplace safe and healthy as the law requires, and will give the Intern an induction on safety, on fire and emergency routes, and on the safe use of anything the Intern will use, before the Intern starts those tasks.

8.2 The Intern will take care for its own safety and that of others, will follow the safety rules and will report an accident, danger or injury to the Supervisor at once.

8.3 The Host will treat the Intern as it treats its staff for safety, and will take extra care if the Intern is under 18.

9. Insurance

The Host's employer's liability and public liability insurance covers the Intern. The Intern should check that its own personal insurance, and any insurance that its school or university provides, is suitable for the Placement.

10. Data protection

The Host will use the Intern's personal data only for the Placement, for its legal duties and for the Intern's reference, will keep it safe and will not keep it longer than needed. The Intern has the rights over its own data that the law gives, and may ask the Host about it.

11. The school or university

11.1 If a school or university is named here, University of Leeds (the "School") is a party to this agreement for this section only. Its contact for the Placement is Dr Helen Wright, Placement Office, placements@example.ac.uk.

11.2 The School and the Intern have asked that the Placement meet the following. A final report of 2,000 words, a mid-placement visit by a tutor and a signed assessment form

11.3 The Host will give the School the information on the Intern's attendance and progress that it reasonably asks for and the Intern allows, will allow a visit by the School's tutor at a time agreed beforehand, and will tell the School at once of any serious problem with the Placement, an accident, or an early end.

11.4 The School stays responsible for the Intern's studies and for deciding any credit or mark that the Placement leads to. Nothing in this section makes the School the Intern's employer.

12. Ending the placement

12.1 Either the Host or the Intern may end the Placement before the end date by giving 7 days' written notice, with the reason if the Host ends it. The Host will tell the School, if there is one.

12.2 The Host may end the Placement at once if the Intern seriously breaks this agreement, for example by a serious breach of confidentiality, by endangering others or by serious misconduct. The Intern may end it at once if the Host seriously breaks this agreement or the Intern's health or safety is at risk.

12.3 When the Placement ends, the Intern will return the Host's property and the Host will pay everything that it owes the Intern up to that date.

13. Reference

At the end of the Placement the Host will, if the Intern asks and the Placement has gone well, give the Intern a written reference or a certificate that says what the Intern did and for how long. The Host may also, with the Intern's agreement, act as a reference for later job applications.

14. Law and disputes

This agreement, and any dispute that arises from it, is governed by the laws of England and Wales. The parties will first try to settle any dispute by discussing it in good faith for 14 days after one of them gives written notice of it.

The place for deciding any dispute under this agreement is Leeds. How disputes are decided

Nothing in this agreement takes away a right that the law gives the Intern and that cannot be given up.

15. General

  • This agreement is the whole agreement of the parties on its subject. A change to it must be in writing and signed by both the Host and the Intern.
  • If a part of this agreement is found invalid, the rest stays in force.
  • This agreement may be signed in separate copies and electronically, and together they form one agreement.

Questions people ask

What details does this template ask for?

The form asks for 27 details, starting with Host organisation: company name, Host organisation: address, Intern: full name, Intern: address, Title of the placement. 6 more are optional.

Can I download this template as Word or PDF?

Yes. When you have filled in the form, save it as a Word document to keep editing, or as a PDF to send or print. It is free and needs no account.

Is what I type sent anywhere?

No. What you type stays in your browser while you fill in the document. It only goes to nerix if you choose to open the template in the chat.

What should I check before I use this template?

Rules for interns differ from country to country. Many places require interns to be paid at least a minimum amount, limit unpaid placements to those that are part of a course and give real learning, cap the hours of young people, or treat some interns as employees with full rights. Check the local pay, work and insurance rules before you offer a placement, and ask a lawyer if you are unsure. An internship should teach the intern, not only fill a job.

Are these HR templates free?

Most are. Fill in and download them for free as Word or PDF, with no account. A few longer documents are premium: free to fill in, paid once to download, and marked with their price.

Do the HR templates follow my country's employment law?

They assume no country's law. Employment rules differ a lot, so each template says where to check local requirements before you use it.

Can a small team use them too?

Yes. They work for a team of two or a company of two thousand, and you can cut any section you do not need in the Word version.
