Employment contract

Set out the job, pay, hours, holidays and notice for a new employee.

Employment Contract

This contract is made on 18 October 2026 between:

  1. Employer: business name, of Employer: address ("the Employer"); and
  2. Employee: full name, of Employee: home address ("the Employee").

1. Job and duties

The Employer employs the Employee in the role of Job title. The Employee's main duties are Main duties.

The Employee will carry out these duties carefully and to the best of their ability, follow the Employer's reasonable instructions and workplace rules, and may be asked to do other reasonable work that fits their skills and role. The Employer will provide the training, equipment and safe working conditions that the job needs.

The Employee will tell the Employer before taking on other paid work that could conflict with the Employer's business or take the Employee over the legal limits on working time.

2. Start, length and probation

The employment starts on Start date and continues until it is ended under section 9.

3. Place of work

The Employee's normal place of work is Place of work. The Employer may ask the Employee to travel for work from time to time, or to work at another place within reasonable daily travelling distance, after consulting them and paying their reasonable extra travel costs. Any other lasting change of place needs the Employee's agreement.

4. Working hours

The Employee's normal working hours are Normal working hours. The Employee is entitled to the rest breaks and the daily and weekly rest that the law provides.

The Employer may ask the Employee to work reasonable extra hours when the business needs it, within the limits the law sets. Extra hours are paid, or given back as time off, as the law and any collective agreement that applies require.

5. Pay

The Employer will pay the Employee Pay before tax, before tax and other deductions. Pay is made on Pay day, by transfer to the bank account the Employee names.

The Employer will deduct tax and social security contributions as the law requires and pay them to the authorities, and will give the Employee a pay statement each time showing the gross pay, each deduction and the net pay. The Employer will make no other deduction from pay unless the law allows it or the Employee agrees in writing.

The Employer will enrol the Employee in any pension, health or accident insurance scheme that the law requires, and will review the pay at least once a year.

6. Holidays

Each year, the Employee is entitled to paid holiday of Paid holiday a year. Holiday is taken at times agreed with the Employer: the Employee will ask with reasonable notice, and the Employer will not refuse without good reason. In the year the employment starts or ends, the entitlement is in proportion to the part of the year worked.

Holiday not taken by the end of the year may be carried over as far as the law requires or the Employer agrees. When the employment ends, the Employee is paid for holiday earned and not taken; if the Employee has taken more than they have earned, the Employer may deduct the difference from the final pay where the law allows.

7. Sickness and other leave

If the Employee cannot work because of illness or injury, they will tell the Employer as early as possible on the first day of absence and provide medical evidence as the law or the Employer's reasonable rules require. The Employee is paid during sick leave as the law requires.

The Employee is also entitled to the other leave that the law provides, such as maternity, paternity, parental and family emergency leave.

8. Confidentiality, work and property

During and after the employment, the Employee will keep confidential, and not misuse, the Employer's confidential information, such as customer and supplier details, prices, finances, plans and trade secrets, except as their work requires or the law allows. This does not cover information that is public, or the general skills and experience the Employee gains in the job. Nothing in this contract stops the Employee from reporting wrongdoing to a regulator or the police, or from doing anything else that the law protects.

Work that the Employee creates in the course of the employment belongs to the Employer, as far as the law allows. When the employment ends, or earlier if the Employer asks, the Employee will return all of the Employer's property, documents and data.

The Employer will handle the Employee's personal data as data protection law requires and will tell the Employee how it does so.

9. Ending the employment

After any probation period, either party may end the employment by giving the other at least Notice to end the job, after probation of written notice, or any longer notice the law requires. The Employer may pay the Employee for the notice period instead of asking them to work it, where the law allows.

When the Employer ends the employment, it will also respect the reasons, the procedure and any severance or end-of-service pay that the law requires. Either party may end the employment without notice only where the law allows it, for example for serious misconduct.

When the employment ends, the Employer will pay everything owed, including pay up to the last day and holiday earned and not taken, and will give the Employee a written certificate of employment stating the dates and the job, if the Employee asks or the law requires.

10. Rules and complaints

The Employer will give the Employee its disciplinary rules and procedures in writing, if it has any. If the Employee has a complaint about their work, they can raise it with their manager, or with a more senior person if it concerns the manager, and the Employer will deal with it promptly and fairly.

11. The law that applies

This contract is governed by the laws of Country or state whose employment law applies. The Employee has every right that the law, and any collective agreement that applies to the job, gives them. Where those rights are more favourable than this contract, for example on minimum pay, working time, rest, holidays, sick pay, notice or protection against dismissal, they apply in place of the less favourable terms, and this contract is read as if it included them.

12. General

This contract, together with any workplace rules given to the Employee in writing, is the whole agreement about the employment. The Employer may update its workplace rules after telling the Employee, but this contract may be changed only in writing signed by both parties. If any part of it cannot be enforced, the rest stays in effect. Each party keeps a signed copy.
