Change management plan

Change: Move from spreadsheets to the new order system
Organisation: Alder Supplies, Sales and Warehouse
Sponsor: Sofia Marin, Managing Director
Change lead: Hamza Idrissi
Go-live date: 1 March 2028

1. Why we are changing

Orders are typed twice and about 1 in 25 has a mistake. The new system removes the double entry and shows stock live.

2. What will be different

Orders are entered once in the new system. Spreadsheets stop on 1 March. Stock is checked on screen.

3. Who is affected

Sales team (8 people): high, new daily tool
Warehouse (12): medium, scan instead of paper
Finance (3): low, new invoice export
Customers: low, new order confirmation email

4. Concerns and risks

Fear of extra work, slow scanners, mistakes during the first week.

5. Communication plan

January: all-hands talk on why and when
February: weekly email update, demo to each team
Go-live day: message from the sponsor
After: weekly tips for a month

6. Training and support

Two hours of hands-on training per group in February. One champion per team. Help desk open 7:00 to 18:00 for the first 4 weeks.

7. How we will know it worked

Order errors below 1 in 100 after 3 months
90 percent of staff using the system daily after 4 weeks
Staff survey at 6 weeks, target 4 out of 5

8. Fallback

Keep the spreadsheets read-only for 4 weeks. Decide on 15 March whether to go back.

9. Review

The change lead reports progress to the sponsor each week until 4 weeks after go-live, then at 3 months. Feedback from staff and customers is collected and acted on, and the plan is updated as we learn.

Questions people ask

What details does this template ask for?

The form asks for 13 details, starting with Name of the change, Organisation or team, Sponsor, Change lead, Go-live date. 1 more are optional.

Can I download this template as Word or PDF?

Yes. When you have filled in the form, save it as a Word document to keep editing, or as a PDF to send or print. It is free and needs no account.

Is what I type sent anywhere?

No. What you type stays in your browser while you fill in the document. It only goes to nerix if you choose to open the template in the chat.

Are these IT and project templates free?

Most are. Fill in and download them for free as Word or PDF, with no account. A few longer documents are premium: free to fill in, paid once to download, and marked with their price.

Does a security policy make us secure?

No document does that alone. A policy helps when it matches what people really do, so keep it short, explain it to your team and review it every year.

Is a project charter only for large projects?

No. A small project benefits too, because one page that names the goal, the limits and the decision maker prevents most arguments later.
