## Key takeaways

- Decide these inside the company first, so the letter does not wander:
- Call the person before you send the letter.
- In the chat, tell nerix the role, the terms and the tone you want, and ask for a first draft of the offer.

You have found the person. The interviews are done, the references are good and everyone is excited. This is the moment when many small companies stumble: the offer comes late, comes by phone with half the details, or arrives in a letter that leaves the person guessing about what they are agreeing to.

A good offer is quick, warm and exact. It makes the decision easy to say yes to, and it protects both sides from misunderstanding in the first month. Here is how to write a job offer letter, with a template you can fill in.

Warning

This guide is general information, not legal advice. Rules differ by country and by contract, so for anything high value or disputed, ask a qualified lawyer before you sign or send.

## Settle the terms before you write

Decide these inside the company first, so the letter does not wander:

- **The role.** The title and the main responsibilities, and who the person reports to.

- **The pay.** The amount, whether it is per year, month or hour, how often it is paid, and whether it is before tax. Bonuses, commission and overtime need their own lines.

- **The hours and place.** Full or part time, usual days, where the work is done, and any remote or hybrid arrangement.

- **The start date.** A specific date, or the way it is set, such as after the notice period at their current job.

- **The extras.** Holiday, sick pay, pension or retirement contributions, equipment, training, anything else you offer.

- **The conditions.** Anything the offer depends on, such as references, a background check where the law allows, proof of the right to work or a probation period.

If you do not know the answer to one of these, find out before sending. A vague line becomes a dispute later.

## Make a phone call first

Call the person before you send the letter. Say you would like to offer them the job, say the main terms in a sentence or two and ask if there is anything that would stop them accepting. This lets you hear the hesitation before it is on paper, and it is a courtesy that people remember.

Tell them the letter will follow today or tomorrow, and keep that promise.

## What the letter should contain

A good offer letter is a page or two. Start with the good news in the first sentence, then the facts, then the next step.

- **Greeting and offer.** "We are delighted to offer you the position of Operations Assistant at Green Valley Foods."

- **The key terms,** in a short list or table: title, manager, start date, pay, hours, place, probation period if any.

- **Conditions,** stated clearly and kept to the ones you need.

- **How to accept,** and by what date. Sign and return, or reply to an email.

- **What happens next.** The employment contract, paperwork, first day, who will contact them.

- **A warm close** with a real person's name and contact details.

Our [job offer letter template](https://nerix.ai/templates/job-offer-letter) has these parts ready to fill in. The [employment contract template](https://nerix.ai/templates/employment-contract) is the full document that follows, but check it against the rules of the country where the person will work, since employment law varies a lot.

## Words that help

Use plain, human language. Say "we would like you to join us" rather than "we are pleased to extend a conditional offer of employment". Avoid anything that sounds like a threat or a trap.

Be careful with promises. "You will get a raise after six months" is a commitment someone will remember. If it is a hope, say "we plan to review your pay after six months". If something is not decided, say so.

Be consistent with the job advert and the interview. If you told them there was a car allowance or flexible hours, either they are in the letter or you explain what changed and why.

Try it on your own work.

## Handle questions and negotiation

Expect questions. Answer them quickly and in writing, so there is a record. If the person asks for more, decide in advance what you can change: pay within a range, a start date, a day of remote work, extra training. Some things you cannot change without making it unfair to current staff. It is fine to say so, kindly.

When you agree to a change, send a new version of the letter with the change in it and say that it replaces the earlier one. Never leave two different versions in circulation.

## When the answer is no

If the person declines, thank them. Ask, once, if there is anything that would have changed their mind. You may learn something about your pay, your process or your reputation. Keep the door open: people change jobs more than once.

If you are the one who needs to decline an offer or a candidate, a short, kind message is better than silence. The [decline offer email template](https://nerix.ai/templates/decline-offer-email) is a useful model for tone: thank them, be clear, and do not over explain.

## After yes

A yes is not the end. Between acceptance and the first day, keep in touch. Send the contract, the first day plan and a message from the team. People who hear nothing for a month sometimes accept another offer. Plan the first week, with a named person to ask and a few small tasks the person can finish.

## Where nerix helps

In the [chat](https://nerix.ai/product/chat), tell nerix the role, the terms and the tone you want, and ask for a first draft of the offer. It opens beside the chat as a document, with each version kept, and you can ask it to make the tone warmer, shorter or more formal. [Email drafts](https://nerix.ai/product/email) (early access) writes the covering email, leaves a visible blank wherever it could not know a fact such as a date, and sends nothing until you press Send.

nerix does not know the employment law where you are or what you agreed on the phone. Check every number, every date and every condition before the letter goes out.

## The short version

Settle the terms first. Phone before you write. Put the role, pay, hours, start date, conditions and the way to accept in one clear letter. Answer questions in writing, put changes in a new version and be gracious with a no.

## Questions people ask

Is a job offer letter the same as an employment contract?

Not always. An offer sets out the main terms and invites acceptance. The contract is the full document. In some places the offer itself can bind you, so write it carefully and say what is subject to conditions.

How long should a candidate have to decide?

A few working days is usual. Give a clear date, and be willing to extend it a little if the person asks politely.
